JOB PURPOSE

The aim of this position is to effectively strategise, plan, organise, direct and control all Goods Receiving related functions for the JHB Branch to ensure Customer Service and Satisfaction.

    LIST OF KEY TASKS

    Stock Control:

  • Ensure that the Receiving Checker check expiry dates & correct batch numbers.
  • Ensure that the stocks which have a shelf –line of 4 months and less are removed from the shelves & that short-dated stock is coded on the system.
  • Plan & direct quarterly stock takes.
  • Ensure that the Stock Controller & Inventory Clerks put away incoming stock according to FIFO.
  • Liaise with the Picking Supervisor on a continuous basis to ensure that picking is done according to FIFO.
  • Implement a checking system whereby all the shelves in the warehouse are being inspected on a monthly basis to ensure that stocks are being rotated properly.
  • Liaise with the Procurement Department on a monthly basis to remove discontinued stock from the bin allocation system

    Logistics:

  • To ensure that the stock controller performs duties
  • Ensure that the Inventory Clerks obtain a daily printout of all items not bin allocated & action this in conjunction with the Stock Controller.

    GRV:

  • Ensure that GRVed stock is moved timeously to the warehouse as per the 24 hour cycle.
  • Implement an inspection & controlling system to ensure that all credits are being passed before month end in order to prevent unnecessary customer queries.
  • Ensure that the GRV Clerk follows procedures.

    Stock Inventory:

  • Ensure that staff is familiar with the Standard Working Procedures.
  • Introduce a monitoring system by which GRV not yet transferred to the warehouse could be detected well in advance to prevent picking from receiving.
  • Ensure that stock is released within the 24 hour cycle
  • To ensure that there is accuracy in packing of stock to the allocated bins
  • Ensure that all Stock Inventory Clerks are familiar with the stock rotation system.

    Subordinate Efficiency:

  • Improve morale and motivation of staff.
  • Ensure regular staff communication and training.
  • Monitor staff time-keeping & absenteeism.
  • Ensure that the department operates as a team.
  • To ensure that all staff department performs duties as per JD

    Security/Theft Control:

  • Implement control & security measures to proactively prevent shortages / shrinkages.
  • Ensure that stock does not leave the receiving area without proper documentation.
  • Assist the Picking Supervisor in introducing a daily stock count on randomly selected items.
  • To assist with the opening and closing of warehouse as per roster.

         Customer Satisfaction:

  • Handle customer queries & warehouse related enquiries.
  • Ensure that customer returns stock are being handled within an acceptable time frame.

    Industrial Relations:

  • Issuing of oral & written warnings to employees.
  • Directing of special counselling sessions with problem employees.

        General:

  • Conducting quarterly and yearly assessments/appraisals of subordinates.
  • To manage overtime strictly
  • Conducting meetings with warehouse control staff and shop stewards in the absence of the operations manager.
  • Assist Operations Manager in directing monthly group performance meetings.
  • Liaising with other middle managers on a continued basis.
  • Other duties assigned by line manager

QUALIFICATIONS AND EXPERIENCE:

  • University/Technical degree, Graduate in Supply Chain Management, Business Administration  or Operation Research
  • Strong knowledge of supply chain design, strategies including good working knowledge and hands on experience
  • Proven track record in middle management capacity and working experience in GRV/Distribution and Logistics from either FMCG or Healthcare
  • Managing a workforce with excellent leadership in performance management, defining and setting direction, setting up structured training plans and leading others with the attitude to ‘get things done and stay done’
  • High energy, stress resistant and hands on
  • People development and team player with excellent interpersonal skills.
